Section 1 - Accessing the Note Tags Section
In the Sidekick, Click the More menu, then click Administration
In the Administration menu, within the Practice Information drop-down list, click Note Management.
The Note Management module opens and the Note Locking section is displayed.
Section 2 - Setting the One-Time Note Lock Feature
To begin the process of manually locking a batch of existing notes, click the One-Time Lock button.
The One-Time Lock dialog box will display.
The Note tags attached to a note determine which notes will be locked. Click the Note Tags drop-down menu to select the Note tags.
- In the Note Tags drop-down list, click the Checkbox nest to each note tag that will be locked. A checkmark will display in each selected checkbox. If required, all of the note tags can be selected b including a checkmark in the top-level All checkbox.
Note: After the Note Tag(s) have been selected, click any area outside of the Note Tags drop-down list to close the drop-down list. - As existing notes can only be locked, either the current date or a past date must be entered in the Lock Notes Created On or Before field. To select the date which all notes will be locked on or before, perform one of the following actions in the Lock Notes Created On or Before field:
Option 1 - Enter the Lock date
i. In the Lock Notes Created On or Before field, enter the Lock Date in the format MM-DD-YYYY.
Option 2 - Select the Lock Date in the Calendar
ii. In the Calendar drop-down, select the Lock Date.
Note: Click any area outside of the calendar drop-down to close the calendar After the lock date has been entered, click the Schedule button.
The One-Time Lock dialog box will close and a message will display indicating that the One-Time Lock has been scheduled.
The details for the One-Time Lock will display in the One-Time Lock section.
Note: The username that was used to log in to the Curve Hero session that set the One-Time Lock will display in this section.
The Schedule History section will display the activation details of the One-Time Note Lock process after it has been successfully completed.
Note: As the One-Time Note Lock process is initiated overnight, the applicable note(s) will nto be locked immediately. Also note that the Username that was used to log in to the Curve Hero session that set the One-Time Lock Note will be listed in the Created By column.
Section 3 - Cancelling the One-Time Note Lock Feature
To begin the process of cancelling the One-Time Note Lock feature, click the Cancel One-Time Lock button.
Note: The One-Time Note Lock process will run overnight. This process can be canceled anytime prior to this period. After the One-Time Note Lock feature has been initiated, it cannot be cancelled.The Cancel One-Time Lock dialog box will open. Review the details included in the dialog box.
Click the Cancel Lock button.
The Cancel One-Time Lock dialog box will close and a message will display indicating that the One-Time Lock has been canceled.
The previously pending One-Time Note Lock is now canceled.
Section 4 - Activating the Scheduled Note Lock Feature
A recurring rule can be set so that notes with a specific note tag and age can be locked. To begin the process of activating the scheduled note lock feature, click the Edit button in the Scheduled Lock section.
The Edit Note Lock Schedule dialog box will display.
The Note Tags attached to a note determine which notes will be locked. Click the Note Tags drop-down menu to select the note tags.
- In the Note Tags drop-down list, click the checkbox next to each note tag. A Checkmark will display in each selected checkbox.
Note: If a One-Time Lock was previously set, the Note Tags drop-down list will automatically select the Note Tags that were included in the previous One-Time Lock. If required, all of the Note Tags can be selected by including a checkmark in the All checkbox. To select the age of the notes that will be locked, click the Age of Notes drop-down menu.
In the Age of Notes drop-down list, click the applicable Age option.
The Schedule Status drop-down menu determines whether the lock schedule will be performed or not. To change the schedule status, click the Schedule Status drop-down menu.
In the Schedule Status drop-down list, click Active to turn the lock schedule on, and click the Save button.
The Edit Note Lock Schedule dialog box will close and a message will display indicating that the Note Lock Schedule has been updated.
- The details for the scheduled Note Lock will display in the Scheduled Lock section.
Note: The scheduled Note Lock process will automatically run overnight, every day. As the scheduled Note Lock process is a recurring event, all applicable notes created in the future will automatically locked. This will be an ongoing occurrence that will run in the background until it is deactivated. The Schedule History section will display the details of the last seven scheduled Note Lock tasks.
Note: The username that was used to log in to the Curve Hero session that activated the Scheduled Note Lock will be listed in the Created By column.
Section 5 - Deactivating the Scheduled Note Lock Feature- To begin the process of deactivating the Scheduled Note Lock feature, click the Edit button in the Scheduled Lock section.
- In the Edit Note Lock Schedule dialog box, click the Schedule Status drop-down menu.
- In the Schedule Status drop-down list, change the option from Active to Inactive, and then click Save.
- The Edit Note Lock Schedule dialog box will close and a message will display indicating that the note lock schedule has been updated.
The Scheduled Lock section will now indicate that the status is Inactive.

Section 6 - Viewing a Locked Note
In the Sidekick, within the Notes drop-down, all locked notes will include the Lock icon. To view the details of the locked note, click the Note.
- The details of the note will display. The red text displayed below the note indicates who locked the note as well as the date and time the note was locked. When a note is manually locked using the One-Time Note Lock feature, the note will be locked by the User who was logged in when the One-Time Note Lock feature was set. When the Note is automatically locked via the Scheduled Note Lock feature, the note will be locked by Curve Hero.
Locked Notes can also be viewed in the Notes dialog box. To view the details of the locked note, click the Note.
- The details of the note will display. The red text displayed below the note indicates who locked the note as well as the date and time the note was locked. When a Note is manually locked using the One-Time Note Lock feature, the note will be locked by the User who was logged in when the One-Time Note Lock feature was set. When the Note is automatically locked via the Scheduled Note Lock feature, the note will be locked by Curve Hero.
