This quick guide goes through the complete process of adjusting a fee guide and transferring patient and insurance fee guides across the Curve Hero database so they reflect the adjusted fees.

In many cases the practice may raise their fees annually, or an insurance may raise their allowed fees. When this happens, the fee guide can be copied and adjusted, and the adjusted fee guide can be transferred to the applicable areas where fee guides are set in Curve Hero.

Section 1 - Adjusting a Fee Guide
- Fee guides are adjusted in Administration. Click the More menu, then click Administration.
- In the Administration menu, click Fee Guides. The existing fee guides within the database display.
- Click the fee guide to be adjusted.
- The fee guide opens.
- It is important to always copy a fee guide to be adjusted. This assures the original fee guide is maintained for future reference or use. At the bottom of the procedure list, click Copy Fee Guide.
- The Copy of the fee guide displays at the bottom of the expanded Fee Guides section of the Administration menu. Click this.
- The Copied Fee Guide opens in the main area of the screen. Click the fee guide name.
- Type the desired name for the copied fee guide to be adjusted. Hit Enter on the keyboard to save it.
- At the bottom of the procedure list, click Adjust Fees.
- The Adjust fees dialog box opens. The fee guide can be increased or decreased by a set percentage. If the intent is to decrease the fees, click Raise and select Lower. If the intent is to increase the fees, this should be set to Raise.
- Click the blank Percentage line, and type the intended percentage for the adjusted fees.
- The fee guide will be raised or lowered by the exact percentage indicated. To avoid costs being split into dollars and cents, click the box for Round amounts to the nearest dollar.
- Click Update.
- An orange message appears at the top left of the screen indicating the fees have been updated.
- Click Done to close the Adjust fees dialog box.
- In the Fee Guide list in the Administration menu, click the original fee guide from which the adjusted fee guide was copied.
- Click the fee guide name, and type a name that identifies it as the original fee guide.
- To set the adjusted fee guide as the default fee guide for the database, meaning all new patients that are added into the database will have it set as their default fee guide, click the adjusted fee guide, and drag it to the top of the fee guide list.
Note: If the adjusted fee guide is not intended to be the default fee guide, it can be dragged to a different position in the fee guide list to make it more visible or accessible.
Section 2 - Transferring a Fee Guide
- The original fee guide can be transferred to the newly adjusted fee guide for all applicable patients or insurance plans. To do this, click Transfer Fee Guide at the bottom of the Fee Guides section of the Administration menu.
- The Transfer fee guide page opens. Click the Transfer from this fee guide field.
- In the fee guide dropdown list, click to select the original fee guide that is intended to be transferred to the newly adjusted fees.
- Click the To this fee guide field.
- Click to select the newly adjusted fee guide that is intended to be transferred to the patient Profiles or insurance plans.
- Click the box beside the desired record(s) to which this fee guide transfer should apply.
- If desired, click the box to update the costs and amounts on the Scheduled appointments and/or Unscheduled treatment plans.
- Click Transfer fee guides.
- A dialog box appears that displays the details of the selected transfer. The message also says the transfer cannot be undone or reversed. If everything is set correctly, click Yes to proceed.
- When the fee guide transfer has been completed, it will show in the Transfer history box for reference, and the fee guides will be updated accordingly.
Note: The Profile default fee guides will not be automatically re-estimated in the scheduled appointments and unscheduled visits. These will have to be manually re-estimated as applicable. Costs that are updated on Insurance plan default fee guides or Insurance plan claim fee guides will automatically be updated if selected to do so.
Note: The message also indicates the system may be less responsive while the transfer is working. This action is recommended to run outside of business hours.
