Visual indicators can be added to appointments to denote the status of a lab case—ensuring that front office and clinical staff know at a glance if a case has been checked in and is ready for the patient's arrival.

Section 1 - Adding a Lab Case Appointment Tag

Click the More menu, then select Administration.

In the Administration menu under the Scheduling section, click Tags and recare types.

The Manage tags page opens. Scroll to the bottom and click the Tag Name blank line to create a new entry.

Type Lab case in house (or your office's preferred terminology for a completed case).

Click Select color. Choose a distinct color from the palette that will represent a "Ready" status on the scheduler.

Section 2 - Adding a Lab Case Needed Appointment Tag

Remain on the Manage tags page. Click the next Tag Name blank line.

Type Lab case needed. This tag represents an appointment where the lab has been sent but not yet returned.

Click Select color and choose a color (typically red or yellow) to indicate a pending status.

Optional: To automatically associate a procedure code (e.g., Crown Seat), click the Add Charges blank line.

Click Add charge and search for the specific procedure code used for your lab delivery appointments.

Section 3 - Attaching and Updating Lab Case Tags on Appointments

Navigate to the Scheduler and use the Mini calendar to select the day of the delivery appointment.

Click and drag to create the appointment. In the dialog box, click Add tag.

Select the Lab case needed tag.

Set the Site (tooth number) and click Create appointment. The appointment will display in the color assigned to the "Needed" tag.

Once the lab case physically arrives, double-click the appointment. Click the Lab case needed tag in the dialog to open the dropdown.

Deselect Lab case needed and select Lab case in house. Click Update appointment.

The appointment color will update on the Scheduler, visually confirming that the case is ready for the patient.
