This article covers how to create a report for sending out monthly statements.
Steps
Section 1 - Create the Statement Report
Click the More Menu found in the top right, then select Reports.
Click Create a New Report.
The first option is to enter the report name.
- The second option is to select the category. Click Category.
Select the desired category from the categories list. This means the new report will be found under that category in the Reports module.
- The next option is to select the type of report. Click Type.
The type of report selected will determine what columns are available to choose to include on the report.
For the monthly statement report, click Patient Demographics.
A fourth option now displays to select what columns will be used in the report, and the window expands to display a list of column options.
The list may need to be scrolled to find and click the following options: RP Full Name, Ins Total, Total Owing, Last Statement Date, and Pat. Total.
- Other options can be selected such as RP Profile Tags according to the needs and preferences of the office.
Click Finish when the columns have been selected.
- The report will generate with the selected options.
Section 2 - Adding Filters
The filters on a report create the parameters of the data displayed. Filters are added in the bottom left corner.
To add filters, click Add a Filter
Click Column.
A list opens with all the columns in the report.
To set a minimum balance for statements, click Pat. Total.
The middle part of the filter sets the parameter of the filter. Click equal to to bring up the options.
Click greater than.
Click the value line, enter the minimum balance for which a statement will be sent.
To filter any insurance balances out of the report, click Add a filter.
For the column, select Ins. Total.
For the parameter, select less than.
Set the value at 0.01. This will filter out any patients with insurance balances from the report.
Another filter can be added to filter out any patients that have already received a statement since the last monthly statement batch was run. Click Add a filter, and for the column, select Last Statement Date.
For the parameter, select before date.
On the value line, set the last date the monthly statements were run. Click the line, and a calendar will open. Click the date the last monthly statements were run.
Click Apply filters.
This will generate the report with the filters applied. Click save to save the filters on the report.
To print or generate the statements, click Statements.
- The report has been saved with these filters, and can be found under the category selected when it was created.
