This Quick Guide will introduce how to inactivate procedure codes that are no longer utilized within an office.

It’s important to maintain accurate procedure code history by keeping the original code name and changing the status of a procedure code to inactive when it will no longer be used. Inactivating procedure codes corrects the error of renaming a delinquent code “Do Not Use” to prevent errors in billing practices.

Steps
Section 1 - Introduction to Locating Active/Inactive Procedure Code Page
- Within Curve Hero, click on the menu icon in the upper right corner of the screen.
- A drop down menu list will appear. Click Administration.
- Under the Administration dashboard, click on the Procedures tab.
- A drop down menu will appear. Click Procedures.
- The Procedure Admin page will open. This is where a procedure code can be made active or inactive.
Section 2 - Making a Procedure Code Inactive
- On the procedure admin page, click Search.
- A search bar will appear to the right of the search button. Click inside the search bar and enter desired code (ex. D1110).
- The procedure code will appear, and under the status column, it will show active, if the procedure code is active in the system.
- To change the status of the procedure code, click on the active button that appears with that code.
- A pop up box will appear with the buttons Active and Inactive inside.
- To inactivate a procedure code, click Inactive. By selecting inactive, the code will now be disabled for use in future treatment planning, scheduling, or procedure completion. It will not remove the inactivated code from previously created treatment plans or previously completed treatment.
Section 3 - Understanding Status Bulk Edit
- The Status Bulk Edit function will allow multiple similar procedure codes to be grouped as either active or inactive. To make multiple similar procedure codes inactive, click on the Status Bulk Edit button.
- A Status Bulk Edit pop up box will appear and guide a user through three steps to accomplish a bulk status edit of a group of similar procedure codes.
- Step 1, Search Procedures, allows procedures to be searched for and selected. Enter the beginning of a code, ex: D32, to populate the similar procedure code list and view the status of all similar procedure codes.
- Select the desired procedure codes.
- After selection is complete, click Next.
- Step 2 is Modify Status. Click inside the dropdown box that says Set Status To.
- A dropdown box will appear. Select Inactive.
- Click Next.
- Step 3 is Review & Save status selections. If selections and their statuses are correct, click Save.
- If there are any errors, a procedure code status change will not be permitted and an error message will appear. This can happen if a selected code is part of a macro or recare tag, for example.
Section 4 - Finding an Inactive Code
- In order to find a list of all inactive codes, click on the word All after the question “Which procedure status would you like to see?” on the Procedure Admin page. This is a filter to view procedure codes with certain assigned statuses.
- A dropdown box will appear with the following statuses to choose from: All, Active, or Inactive. Click Inactive.
- The procedure status filter has now been set to Inactive. Next, click Search.
- A list of all inactive procedure codes within a user’s office will be displayed.
Section 5 - Restrictions of Inactivating codes
- Procedure codes will not be able to be inactivated that are currently part of a charting shortcut, procedure macro, recare or appointment tag. The image below shows the example of code D0120 for periodic oral evaluation being part of a procedure macro.
- For example, if the code D0120 for periodic oral evaluation is part of a macro, shortcut, or recare/appointment tag, it will not be able to be inactivated, and an error message will appear if a user tries to inactivate it.
- Similarly, in the Status Bulk Edit section, if there are any errors, the save button is disabled until the procedures with errors are removed or corrected.
- Procedure codes will not be able to become inactive if they are part of insurance plan coverage tables. A user will also not be able to access any inactive procedures in the payment tables of insurance plans.
- A user will not be able to access any inactive procedures in existing fee guides.
