How to conduct the Final Assembly Conference.
Steps to Follow
- Ten minutes prior to the Final Assembly conference call with the office, open the Final Assembly Conference PowerPoint presentation in Heroserver.
- Start the GoToMeeting session.
- When the office has joined the meeting, introduce the Customer Service expert and Data Services expert, and ask the office who on their end is also attending the meeting.
- Proceed with the Final Assembly Conference PowerPoint presentation.
- After going through the presentation, ask the office to pull up their database on their own computer.
- Make the Office Champion the presenter on GoToMeeting.
- Give the Office Champion their username (the username should be the same as how they had it setup in the training database), and advise of the new password (customer ID) so that they can log into the system.
- Turn the time over to the data services technician so that he/she can talk about any changes or corrections that were made for the final data conversion.
- After all questions have been addressed regarding the conversion and data review, turn the time over to the Customer Service expert so that the expert can go through key information (Administration) with the office to ensure that their system is entirely setup and ready for use.
- Once the Customer Service expert has gone through the Administration section of the database, they will turn the time back to you.
- Explain to the office that we would like them to complete the Final Conversion paperwork and return it to you to ensure that everything is setup (final sign-off).
- Setup a reminder in your Google calendar to follow-up with the office to ensure that they have sent back the final document. The packet should be returned at the end of the business day of the Final Assembly conference call, but some offices will need to be contacted to ensure the paperwork is returned.
