Here is a guide for creating mailing labels.
Steps
In order to do a merge for labels, you must have a word processor installed on the computer.
- Go to Reports.
- Click Create a New Report.
- Name the Report.
- Click Category and choose Patient Reports.
- Click Type and choose Patient Demographics.
- From the drop down box, choose the following columns:
- First Name
- Last Name
- RP Mailing Street or HoH Mailing Street, or Mailing Street (depending on who you want to send your information to)
- RP Mailing City or HoH Mailing City, or Mailing City (depending on who you want to send your information to)
- RP Mailing State/Province or HoH Mailing State/Province, or Mailing State/Province (depending on who you want to send your information to)
- RP Postal/Zip or HoH Postal Zip, or Postal Zip (depending on who you want to send your information to)
- Click Finish.
- After the Report generates, choose CSV in the upper right of the screen.
- On the lower left side of the screen, double click the box that has the word Report. The report will open in an Excel spreadsheet.
- Next to the A column heading in the upper left corner, you will see a small triangle. Click within the box the triangle is in to highlight the whole spreadsheet.
- When the spreadsheet is highlighted, move your cursor between the column heading A & B until it becomes a cross with arrows and double click so the columns will resize.
- Save this spreadsheet as an Excel 1997-2003 workbook in an easy place to find (e.g. your Desktop).
- Click Mailings.
- Click Start Mail Merge.
- Click Step by Step Mail Merge Wizard, which will open up the Wizard on the right side of your screen.
- From the select document type, choose labels.
- At the bottom of the wizard, click 'Next: starting document'.
- Click on 'label options' to select the label format to be used.
- Select the vendor first and then choose the product number. For example, choose Avery A4/A5 for the vendor ans 5160 as the product number.
- Click 'OK'.
- Select 'Next: Select recipients'.
- Select 'Use an existing list'.
- Click 'Browse...'
- Locate the saved spreadsheet from the earlier steps and select it.
- In the pop up box, check 1st row is a Header and click 'OK'.
- Uncheck any duplicate entries that you do not want in the merge. Then click 'OK'.
- Click 'Next: Arrange your labels'.
- Click 'More Items'. Double click each field that you want added to the label. These will have to be added one by one. When all fields have been added, select 'Close'.
- Format the label with any spaces or hard returns that may be needed.
- Click on 'Update all labels'.
- At the bottom of the wizard, click 'Next: Preview your labels'.
- If they look correct, click 'Next: Complete the Merge'.
- To print the labels, use the Print button in the Mail Merger wizard (the alt F Print option will only print one page of labels).
At this point, a word document needs to be opened.
